1. Overview
MED-U2-TRAVEL understands that plans may change. This policy outlines the conditions under which deposits and payments may be refunded, and the timelines for cancellations. We encourage all patients to read this policy carefully before making a deposit or booking.
2. Deposit Refund Conditions
- Deposits are required to secure treatment dates, hotel reservations, and transfer arrangements.
- The standard deposit amount and payment schedule will be communicated by your personal coordinator.
- Deposits are fully refundable if the treating doctor determines the patient is not a suitable candidate for the requested procedure after examination.
- Deposits are non-refundable if the patient fails to disclose relevant medical information that later affects eligibility.
3. Cancellation Timelines
30+ days before treatment
Full refund of deposit, minus any non-recoverable third-party booking fees (e.g., non-refundable hotel reservations).
14-29 days before treatment
50% refund of deposit. The remaining 50% covers administrative costs and non-recoverable reservations.
7-13 days before treatment
25% refund of deposit. Significant arrangements will have already been confirmed with providers.
Less than 7 days before treatment
No refund. All arrangements are finalized and commitments made to hospitals, hotels, and transfer providers.
4. Force Majeure
In cases of force majeure, MED-U2-TRAVEL will work with you to find a fair solution. Force majeure circumstances include:
- Medical Emergency: If you become ill or are hospitalized before travel, a full refund or rescheduling will be offered upon providing medical documentation.
- Flight Cancellation: If your airline cancels your flight and no alternative is available within a reasonable timeframe, a full refund or rescheduling will be offered.
- Natural Disaster / Pandemic: In the event of natural disasters, government travel bans, or pandemics affecting travel, a full refund or rescheduling will be offered.
- Visa Denial: If your visa application is denied by Turkish or Thai authorities despite proper documentation, a refund will be considered on a case-by-case basis.
5. Hotel & Transfer Cancellation
- Hotel: Hotel cancellation policies vary by property. Most partner hotels offer free cancellation up to 48-72 hours before check-in. After this period, the first night or full stay may be charged.
- Airport Transfers: Transfer cancellations made more than 24 hours in advance are fully refundable. Cancellations within 24 hours are non-refundable.
- Car Rental: Car rental cancellation terms follow the rental provider's policy. Most offer free cancellation up to 48 hours before pickup.
6. Refund Process & Timeline
- To request a refund, contact your personal coordinator or email us at info@med-u2-travel.com.
- Refund requests will be reviewed within 5 business days.
- Approved refunds will be processed within 10-15 business days via the original payment method.
- Bank transfer refunds may take an additional 3-5 business days depending on your bank.
- Currency exchange rate differences at the time of refund are the responsibility of the patient.
7. Rescheduling
As an alternative to cancellation, you may reschedule your treatment date at no additional coordination fee, subject to availability at the hospital and hotel. Rescheduling requests must be made at least 14 days before the original treatment date. Only one free reschedule is permitted per booking.
